What you'll learn#

  • The three main regions of the VAT Portal screen
  • How to move between pages using the sidebar
  • What the header contains and what each control does
  • What the Dashboard (home page) shows you
  • Why some pages or modules may not appear for you

The three regions of the screen#

Once you sign in, every page in VAT Portal is laid out the same way:

  • Sidebar (left) — your main way of moving between modules and pages.
  • Header (top) — current company, user menu, theme and language controls.
  • Main content — the page you're currently on.
  • Footer — a small line at the bottom crediting AMR Solutions LLC.
Full VAT Portal interface at a desktop width (~1440px) with the Dashboard page open and the sidebar expanded. Annotate the four regions with labels and arrows: Sidebar (left column), Header (top bar), Main content (the page body), and Footer (thin line at the bottom).

The sidebar#

The sidebar is your table of contents for the whole app.

Top of the sidebar

  • The VAT Portal logo.

Middle of the sidebar

  • A single Dashboard link at the top — always visible, takes you to the home page.
  • A list of module groups below it, each one expandable. Typical groups include:
    • Document Flow — documents, document types, approval flows, my tasks, and (for admins) workflow admin.
    • Utilities — additional fields, filters, and other supporting features.
    • Human Resources — departments, positions, employees.
    • Settings — users, groups, and other administrative tools.

Click a module group to expand it — a small arrow rotates to show it's open, and the pages inside appear indented below, with a thin vertical line on the left. Click any page to go there. The page you're currently on is highlighted with a colored bar on its left edge.

Close-up of the sidebar with Document Flow expanded to show Documents, Document Types, My Tasks, and Approval Flows. The active page (e.g., Documents) should be highlighted with its left-edge accent bar. Crop tightly — sidebar only, no header.

Bottom of the sidebar

  • A Collapse button that shrinks the sidebar down to just icons. In collapsed mode, hovering over an icon shows its name as a tooltip. Click the button again to expand back.

Why some modules or pages might not appear#

The sidebar only shows what your admin has given you access to. If a teammate has a module or page in their sidebar that you don't, that's normal — they have different permissions.

If you expected to see something and it's missing, contact your admin. They can grant or adjust access for your account. See also: Troubleshooting > I can't see a page in the sidebar.

The header#

The header runs across the top of every page. Left to right:

Company name or company switcher (left side)

  • If you only belong to one company, you'll see its name displayed as plain text.
  • If you belong to more than one company, you'll see a dropdown to switch between them.
  • Admin users see a dropdown of all companies in the system.

See Switching between companies for details.

Theme toggle (sun / moon icon)

  • Switches between light and dark theme. See Language and theme.

Language switcher (az / en / ru)

  • Switches the interface language. See Language and theme.

User icon (person silhouette, far right)

  • Click to open a dropdown showing:
    • Your name and email at the top.
    • Profile — opens your profile page.
    • (Admin-only) Create Company, Manage Modules, Disable Company.
    • Logout — signs you out.
The full header bar at desktop width, annotated with labels on each element from left to right: Company switcher, Theme toggle, Language switcher, User icon. Use a regular (non-admin) user account so the company switcher shows the multi-company dropdown variant (not the admin "all companies" variant).

The Dashboard (home page)#

Clicking Dashboard in the sidebar (or the logo) takes you to the home page. Here you'll find:

Greeting and date

  • "Good morning / afternoon / evening, {your name}" and today's date.

Module tabs (only if you have access to more than one module)

  • Lets you switch which module's dashboard you're looking at.
  • If you only have access to one module, the tabs are hidden and that module's dashboard is shown directly.

Document Flow dashboard shows:

  • Four summary cards — Documents, Document Types, Approval Flows, and My Tasks. Each card shows the count and a breakdown by status. Click any card to jump to that list.
  • My Tasks card — color-coded to tell you at a glance:
    • 🟢 Green border — you have no tasks waiting.
    • 🟡 Amber border — you have tasks, but none are overdue.
    • 🔴 Red border — you have overdue tasks.
  • Quick Actions — shortcut buttons to Create Document, Browse Documents, My Tasks, and Approval Flows.
  • Recent Documents — the 8 most recently created documents, each clickable to open.
The full Document Flow dashboard. Capture at desktop width (~1440px) so the layout shows: greeting and date at the top, module tabs on the right (if applicable), the row of four stat cards, and both columns below (Recent Documents on the left, My Tasks callout + Quick Actions on the right). Populate the account with a realistic number of documents and at least one pending task so it doesn't look empty.

Other modules (HR, Settings) currently show a Coming Soon placeholder on the dashboard — their full pages are still reached through the sidebar.

Moving around#

A few navigation patterns used throughout the app:

  • Click a row in a list — opens the detail page for that item.
  • Click a module icon in the sidebar — expands/collapses the group.
  • Click the logo or the Dashboard item — returns you to the home page.
  • Use the browser's Back button to return to the previous page — it works normally throughout the app.
  • Bookmark any page — URLs are stable. For example, bookmarking /docflow/my-tasks will open My Tasks directly next time (after you sign in).

Common questions#

Where's the search?

There isn't a global search across the whole app. Most list pages have their own search box at the top — you can filter documents, users, fields, etc. within each page.

How do I go back to the previous page?

Use your browser's Back button — VAT Portal is a normal web application and it works as expected.

Are there keyboard shortcuts?

Not currently. Navigation is mouse-driven, but all standard browser shortcuts (Ctrl/Cmd+Click to open in a new tab, Backspace/Alt+Left to go back, etc.) work as normal.

The sidebar has disappeared on my phone.

The web interface is designed for desktop and laptop screens. On phones the sidebar is hidden. Use the VAT Portal mobile app instead — it's designed for small screens. See the Mobile App section.

I don't see the "Workflow Admin" page — where is it?

It only appears for admin-level users. Regular users don't need it. If you need access, ask your admin.

The sidebar shows fewer items than it did last week.

Your admin may have adjusted your permissions. Ask them what changed.
