What My Tasks is
My Tasks is the list of every approval task currently waiting on you. A task lands here when:
- Someone started an approval on a document and you're assigned to one of its steps — directly, or as a member of a group / department / position / role.
- Someone delegated their own task to you because they couldn't act on it themselves.
My Tasks is where most approvers spend their time. The pattern is: check it regularly, work through anything overdue, then handle items due soon.

Getting to My Tasks
Three ways:
- Sidebar — Document Flow → My Tasks.
- Dashboard — click the My Tasks stat card, or the green/amber/red callout card on the right.
- Direct URL —
/docflow/my-tasks.
What you see at a glance
At the top of the page:
- A summary line — for example, "You have 5 tasks (2 overdue)" — so you know the state of your queue in one look. If you have no tasks, it says "All caught up".
Below that, three filter tabs show task counts:
- All — every task currently assigned to you.
- Overdue — tasks past their deadline. A red badge on this tab shows the count, so you notice it even if you're on a different tab.
- Due Soon — tasks due today or within the next 3 days (but not yet overdue).
The columns, explained
| Column | What it shows |
|---|---|
| Task | The name of the approval step (e.g., "Manager approval", "Finance review"). If the task was delegated to you, a small amber "Delegated to you" label appears just below the task name. |
| Document | The title of the document the task belongs to, so you can tell at a glance which one needs your attention. |
| Assignee | Who the task is formally assigned to — could be you directly, or a group/department/position you belong to. Shown as a small outlined badge. |
| Activated | The date the task became active and showed up in your list. |
| Remaining | How many days you have before the task is due, with color coding. |
Days Remaining — the color language
- 🔴 "Nd overdue" (red, with a crossed calendar icon) — the deadline has passed.
- 🟡 "Due today" (amber) — today is the last day.
- 🟡 "Nd left" (amber, 1–3 days) — almost due.
- ⚪ "Nd left" (muted grey, 4+ days) — still time to get to it.
- "—" — this task has no deadline configured.
The whole row also gets a thin colored bar on its left edge that matches:
- Red bar → overdue
- Amber bar → due soon (3 days or less)
- No bar → normal
So you can scan the list and see urgency before reading any text.
Filtering and searching
You don't have to scroll through everything.
Expiry tabs (top-left of the toolbar)
- Click All, Overdue, or Due Soon to narrow the list.
Assignee filter (dropdown, top-right)
- Sometimes you want to see only the tasks assigned directly to you, not to your department as a whole. Use this dropdown:
- All — every task (default).
- User — tasks assigned to you as an individual.
- Department, Position, Group — tasks assigned to your department, your job position, or a group you belong to.
Search (top-right)
- Type into the search box to filter by task name or document title. Useful when you know roughly what you're looking for.
The three filters combine. For example: Overdue tab + Department + search "invoice" shows overdue department-assigned tasks whose document mentions "invoice".
Opening a task
Click any row to open the task detail page, where you'll see:
- The document's content and any attached files.
- Any task-specific fields you need to fill in.
- A discussion board for asking questions or clarifying details.
- The actions available: Approve, Reject, Delegate, or (for creator-confirmation steps) Confirm.

Empty state
If you have no tasks (either because no one has routed anything to you, or you've worked through everything), you'll see a large "All caught up!" message with a small icon. The callout card on the Dashboard also shows a green border in this state.
Common questions
I don't see a task that was just assigned to me.
The page doesn't auto-refresh aggressively. Leave the page and come back, or refresh the browser. If the task was sent to a group you're in, make sure you're actually a member of that group — ask your admin if you're unsure.
I see a task with a different person's name in the Assignee column but the "Delegated to you" label.
That means the task was originally assigned to that person (or to a group/position), but they delegated it to you. You're the one who needs to act on it now. See Delegating a task to someone else for how delegation works in both directions.
A task I expected to be overdue shows no deadline.
Not every workflow step has a deadline. Your admin decides per-task whether to set one. If a task has no deadline, the Remaining column shows "—" and no color bar.
I see tasks from multiple companies.
No — My Tasks is scoped to your currently active company. If you belong to multiple companies and you want to see tasks in another, switch companies first (top-left of the header). See Switching between companies.
Can I sort the columns?
Not currently. Tasks are shown in their natural order. Use the filters and search to find what you need.
Where do I see tasks that are already approved or rejected?
My Tasks only shows active tasks (those still waiting on you). Once you act on a task, it leaves the list. To see historical activity, open the document and check its Action History section.
