Editing a user's profile
What you'll learn
- Which user fields can be edited after creation, and which can't
- How to open and use the Edit User dialog
- What to do for the fields that aren't in this dialog (password, company, access)
What you can edit here
The Edit User dialog is deliberately narrow. It covers four fields:
- First Name
- Last Name
- Role
Everything else about the user — their username, password, companies, per-resource access, groups — is edited through separate tools, covered by their own articles.
Why the separation? These four fields are the most frequently changed details (someone gets married and changes their last name, their email changes, they get promoted to a higher role). The other settings are more consequential and live behind dedicated dialogs to keep the edit experience focused and hard to get wrong.
Step-by-step
- Open Settings → Users in the sidebar.
- Find the user in the list — use the search box if needed.
- Click the three-dot menu at the end of their row.
- Choose Edit Profile.
- The Edit User dialog opens, pre-filled with the user's current values.
- Change the fields you need to update.
- Click Save.
The list refreshes and shows the new values.
What's NOT in this dialog
Four other things about a user are edited through separate dialogs on the same Users page:
| To change | Menu item on the row | See article |
|---|---|---|
| Password | Change Password | Changing a user's password |
| Which companies the user belongs to | Manage Companies | Assigning a user to multiple companies |
| Per-resource access levels | Manage Access | Managing a user's access (per-company ACLs) |
| Group memberships | Handled on the Groups page, not the user's row | Managing group members |
Username can't be changed. It's set when the user is created and is permanent. If a user absolutely needs a different username, the cleanest path is to create a new user with the desired username and delete the old one. Any history attached to the old account stays.
Common questions
I changed the user's email. Do I need to notify them?
Probably yes, depending on your organization's practice. Updates don't generate automatic emails to the user, so if they had the email memorized they won't know until someone mentions it. That said, email changes in VAT Portal don't affect sign-in — usernames and passwords are separate from email.
I changed the user's role from AppAdmin to Operator — why are their per-resource access levels still showing AppAdmin for specific resources?
The role sets the user's default. Per-resource access overrides set in Manage Access are independent and survive a role change. If you want to reset a user's access levels to match their new role, open Manage Access and clear or adjust individual entries. See Managing a user's access (per-company ACLs).
The user's name changed but their username is wrong (e.g., it's their old name). Can I fix it?
Not in VAT Portal. Username is permanent. If it must change, create a fresh account with the new username and migrate their responsibilities; then delete the old account.
Does editing the profile bump the user out of anything they had open?
No. Active sessions continue. The user will see the updated role and name the next time their profile information loads (usually within a few seconds, or on next refresh).
Can I edit my own profile from here?
Your own profile information shows on Profile (in the header user-menu), but that page is read-only. If you need your own name or email changed, ask another admin to update it through this dialog — or do it yourself on your own account if you have permission for the user resource.
I can see the user but not the three-dot menu — why?
Your account doesn't have update permission on the user resource. Ask a senior admin to grant it (or ask them to make the edit for you).
